Prospects


 

In a Sana webshop sales representatives can place orders on behalf of their business customers. A sales representative can also create a prospective customer and place an order on behalf of this prospect.

A sales representative can create a prospective customer from the "My Account" page in the webshop by clicking "Create a prospect order".

To create a prospective customer, a sales representative must enter prospect details.

In Sana Admin, a shop administrator can allow and forbid sales representatives create prospective customers, and set up the fields that a sales representative must fill in to create a prospective customer. To do this, in Sana Admin click: Setup > Customer > Profile fields > Prospect profile.

When a sales representative creates a prospective customer, he or she must select the country and enter the address of the prospect. When the prospect details are entered and saved, the prospect will be created in Dynamics 365 for Finance and Operations. All prospect details entered by the sales representative will be also saved to the prospect master data in Dynamics 365 for Finance and Operations. All other data, like currency and tax information, will be copied from the customer template assigned to the country. Therefore, you must set up countries and customer templates in Dynamics 365 for Finance and Operations which will be used to create prospects. To set up countries and customer templates in Dynamics 365 for Finance and Operations, click: Webshop > Setup > Country/region setup. For more information, see "Countries".

When the prospective customer is created in the webshop, he or she will be automatically assigned to the sales representative. The sales representative can create one or more sales orders on behalf of the prospective customer. The order created by the sales representative on behalf of the prospective customer is saved to Dynamics 365 for Finance and Operations as a sales quotation.

The prospect can be used only once. If the sales representative logs out from the webshop, or represents another customer, he or she will not be able to represent this prospect again and create the order on behalf of this prospect.

Let's assume that negotiations between the sales representative and the prospective customer have gone well and the prospect wants to become a real customer. A user in Dynamics 365 for Finance and Operations can convert the sales quotation created on behalf of the prospect into sales order, and create the customer from the prospect.
